BLOG : Is trying to generate complex Purchase Orders in AX using SSRS giving you a headache?

Kim Franck Agerholm, senior AX developer, Formpipe Lasernet

When generating documents from AX using standard tools like SSRS there’s only a certain level of customisation you can go to before compromise sets in due to the level of difficulty in programming certain functions and actions. This is the case when configuring a complicated purchase order that is not only completely variable on the input but also on the output.

Here’s the problem. Creating a purchase order in the retail sector is not as simple as just placing data on a page and adding a header. Repeating headers, consolidation of lines from a vertical output into a horizontal requirement pose real problems in SSRS. Further to that, adding subtotals per warehouse and making sure that all documents arrive at the right place in the right time compounds the complexity.

So what can you do? One way to overcome this efficiency obstacle is by feeding the output through a specialised enterprise output management (EOM) connector that’s been specifically designed to integrate seamlessly with Dynamics AX. With these connectors in place, many companies are now starting to see the advantage of manipulating the data before formatting to simplify the overall process.

This however can only go so far but, by using the graphical drag and drop functionality encompassed within a specialist EOM connector, all formatting and corporate guidelines can be adhered to simply and easily – and with a few clicks of the mouse.

This can easily be shown by the simple snapshot below.

PO AX

Sound too good to be true? Still need some convincing? OK, so let’s break it down by function.

  • Headers

Many organisations have multiple warehouses and would like to show this on the purchase order, whilst at the same time ensuring it is easy to read. Repeating the header titles per warehouse and tailoring it so it shows what warehouse it is can easily be accomplished with the Lasernet connector.

  • Vertical to Linear

Lasernet can take what was 25 lines of data and generate just 7, ensuring only the information required on the purchase order is visible. Another benefit is that Lasernet can turn the output from a vertical display to a linear display and subtotal the colour, size, layout, branding and so forth. This not only makes life easier for the person responsible for creating the purchase order but also makes the document cleaner, more professional and easier to interpret for the recipient too.

  • New lines

When information within the field’s item number, colour, confirmed quantity, mode, price, discount change it should generate a new line for the Warehouse in the Output and at the same time add a background illustrating the new warehouse and separate it from the previous item line.

AX is not good at dynamic graphics or adding pictures. With Lasernet you can easily add frames, lines, backgrounds with different shadings and pictures, all in the graphic interface so you always can see the output.

  • Subtotalling

Ensuring that the totals for each warehouse for Qty and value are subtotalled. Something that is not generated from the output of AX.

BÜRGER selects Lasernet to drive output management efficiency and reduce cost

German food manufacturer, BÜRGER GmbH & Co. KG, has chosen the output management application Lasernet by Formpipe, as part of its SAP rollout, in a bid to improve efficiency and reduce operational cost. The move to SAP and the Lasernet enterprise output management (EOM) application has replaced four separate systems including a rival output management software.

With the introduction of new food information regulations the need to create a reliable, quick and simple label printing function was essential. Selecting an Enterprise Output Management (EOM) application capable of integrating seamlessly with the multiple ERP systems already in place was also key, as Stephan Melz, Head of IT, at BÜRGER, confirms: “Using multiple output management systems for different ERPs was a legacy issue and one we were keen to address. We’ve been using Lasernet for many years and have always been impressed with its user-friendly functionality and reliability.”

“The fact [Lasernet] configures so well with each and every ERP system we use was an added bonus. Creating a successful SAP environment meant selecting the most powerful tool available to ensure the design, management and transfer of data and documentation helps our business operate as effectively and efficiently as possible. We now have a central EOM solution that’s easy to use and delivers real value to our overall operation.”

The migration to using Lasernet took under 10 weeks and has empowered BÜRGER to design, store and share a variety of documentation, such as invoices and labels, across multiple formats from HTML to PDF. Mike Rogers, Sales and Marketing Director for Lasernet, explains the benefits this will bring, “BÜRGER has been using Lasernet for part of its output management function for a while now but being selected over competing products also in use is testament to Lasernet’s superior functionality and usability. Bürger is now in a better place to effectively manage newly introduced labeling regulations, whilst reducing the administration time and associated expense of operating multiple, disjointed systems.”

For over twenty years Formpipe have been working with customers to provide a leading input and output management supply. The company convert and communicate documents in all formats with Lasernet, using their business knowledge and market-leading software.

Azure: Is your Enterprise Output Management Cloud ready?

 Cloud Adoption

Cloud adoption is continuing to gather pace, as more and more businesses move applications out of their data centres in a bid to cut the cost and space of in house servers, and also to enable scalability. This has led to a booming Infrastructure As A Service (Iaas) market worth a total of $16.5 billion in 2015, according to Gartner stats. Hosting all of your preferred software and applications in one accessible place coupled with integrated tools, pre-built templates and managed services makes it easier to build and manage enterprise, mobile, web and IoT apps faster.

Microsoft Azure & Dynamics 365

Microsoft Azure is leading the way in developing one of the most advanced cloud platforms for today’s business users, and as it’s a Microsoft supported cloud environment it seamlessly integrates with the Microsoft Office software we use day to day, as well as all popular applications including Windows, Linux, Google services, Salesforce and Dropbox.  Microsoft Azure has continued to gain ground, building a huge global cloud network, with Adobe Creative Cloud and Egnyte being the latest industry giants to come on board.

With Dynamics 365 now being built for the cloud we all look to our current systems to see if they can still deliver as we migrate from on premise to the cloud. Moving current CRM applications, POS and warehouse solutions to the new architecture all have their challenges. Many of these come with the inherent problem that there are still areas that need addressing in our offices, warehouses and shops with local solutions as other technology catches up. So with Microsoft Azure’s bold new developments transforming how we use the cloud, we ask the question, is your Enterprise Output Management (EOM) Cloud ready?

Printing & Storing from Dyanmics365 & Cloud servers

Now that Dynamics365 is based in the cloud and with years of experience in the Output Management market we turned our attention to how we can address solve the problem of driving printers locally on customers networks globally. Trying to drive thermal label printers, control bins and functions in printers, generate barcodes, keep the images in print streams small in file size but still crisp, has for many years caused problems even for on premise solutions.

A new age of output efficiency

We have solved all these obstacles with the Dynamics 365 Lasernet connector, coupled with our Lasernet Cloud Print Connector that runs locally servicing printers across your global network. Driving files between our 2 services and using years of experience in this field has enabled developments such as the ability to generate Barcoded documents and labels using our standard drag and drop facilities on Azure hosted environments whilst still transforming this from the cloud to local printers. This leads to zero loss in functionality when using Lasernet on premise or in the cloud.

In fact in the cloud we can start to use many of the other extremely useful features that we are all now starting to become accustomed to. Ensuring failover and uptime are key to the latest release of Lasernet and our Connector for Dynamics 365, coupled with the ability to use blob storage as a standard for documents and images. Within Dynamics365 users are able to generate documents, and the architecture of Lasernet’s services will ensure that no data or documents are lost, even when transferring locally to printers. Once the customer documents have been generated the “archive copy” is then sent back to Dynamics365 and stored in the standard blob storage ensuring complete consistency with Azure technology.

Simply put :

  • Lasernet for Dynamics365 generates its own standard XML file with all required information like fields, reference/link to pictures and attachments in the Cloud and sends this to the Lasernet service
  • Lasernet reads the XML file and uses the links to decode the picture and attachments
  • References in the XML drive Lasernet to ensure correct delivery to customers and clients in the format they require
  • Once generated Lasernet saves the file, for example a PDF, into Dynamics 365 (Azure blob storage)
  • Lasernet for Dynamcis365 can now preview and resend this PDF file directly from Dynamics365

Barcodes: Easier input and better output in manufacturing

Barcode generation is a critical function for many manufacturers and retailers, with the accurate production of labels for packing, delivery and returns notes being vital to many areas of a business, with fast, click-to-buy shopping at our customer’s finger tips. Producing certain types of barcode, such as PDF417, has been notoriously difficult, with most ERP system’s standard output having real problems. Historically, the conversion of standard txt output from the ERP in order to create the necessary codes for thermal label printers needed to be managed at every level to ensure precision as each had their own codes and commands. These obstacles will soon be troubles of the past. The development of plug-ins has overcome the issues suffered by ERPs by generating these elements, making this process simple to configure, and enabling different print jobs to be sent to different printers, instantly.

So what’s different about Lasernet’s barcode creation?

No fuss input and output

As with all Lasernet products, the barcode designer is user-friendly with the same  simple interface that is used to design other documents. A quick point and click will convert the data into the layout and barcode required. You can very quickly generate barcodes on the fly – logic can be applied to generate the correct barcode, in the correct place, containing all the information that is needed. Put simply, Lasernet can merge all vital data to ensure the correct information, in the correct order, is placed in the barcode. For instance, you might want a barcode that contains a sequence of information such as date, order number, customer number and these need to be in a certain order. Industry leaders, including Panasonic, have already seen the benefits of this streamlined solution for their barcode creation and print.

Save on resources and cost

Printer communication issues used to waste valuable time in the manufacturing and dispatching workflow. The Lasernet connector can be used with any label printer, regardless of manufacturer and printer language, and can drive the printer and generate a barcode on any type of printer, including thermal. Many software applications require a checksum calculation to generate a barcode. Lasernet can generate one with a checksum or without, therefore allowing use of a barcode on simpler scanners that don’t calculate the check digit. No checksum required, so no complex and expensive scanners required either. Lasernet also comes with a standard set of barcode fonts so no extra fonts need to be purchased.

Not limited to barcode labels, use Lasernet for all your document generation too

Generation of emails and electronic documents to ensure delivery and updates to customers is also a prime example of how Lasernet can add real value. For instance, generating a customer email including a delivery note on the day that the delivery goes out, as a reminder that it will be delivered, is very useful for customer retention and repeat business. It’s not that simple for an out of the box ERP to deal with. In Germany, our customer BURGER replaced a specific label product with our solution so they could not only do labels but also all other documents as well, specifically to address this concern.

Formpipe offers SMBs enterprise service with new NAV connector for Lasernet

Responding to increased demand from the SME market for sophisticated output management functionality, Formpipe, is announcing the launch of a new Microsoft Dynamics Navision connector for its leading enterprise input/output management system, Lasernet.  Designed to offer SMEs using Microsoft’s NAV ERP system the same output management functionality enjoyed by large corporations using Microsoft’s Dynamics 365 for operations, the new connector is expected to save time and slash costs.

Once implemented, the Lasernet connector will offer enhanced functionality for setting up, designing and distributing business documents across numerous electronic and paper-based formats. With the new connector in place, NAV users will be able to control network, printer and mail server connections; design forms, such as purchase orders and invoices, using simple yet fast and effective drag and drop functionality. Users will also be able to: set up documents quickly and easily in a range of formats, including XML, PDF and CSV; distribute documents to a wide variety of external systems from FTP, Email, Web services and SharePoint; and receive various types of documents, including scanned invoices.

Formpipe Lasernet commercial director, Mike Rogers, believes the launch of the new connector will deliver tangible benefits to SMBs using the popular ERP tool. Mike comments: “As a member of Microsoft’s TAP scheme we were able to develop the market leading connector for the latest version of Dynamics 365. As a company, we weren’t content to stop there. Recognising that smaller organisations experience the same output management frustrations using standard functionality as larger businesses do meant we have been able to bring a much needed product to market. As a result, we’re now able to give SMBs access to the same simple-to-use tools that are already making real differences to the bottom lines of big businesses the world over.”

Formpipe Lasernet secures ComputerWorld magazine’s 2016 IT Komet award

The Bible of technology journalism in Denmark, ComputerWorld, has announced the winner of the prestigious IT Komet Award – an initiative designed to recognise growth in the tech sector. The leading publishing house analysed more than 1,300 companies before naming Lasernet as 2016’s recipient.

Reviewing the past four annual financial statements in relation to operating profit and profit before tax, and setting a minimum profit of 500,000 kroner in the 2012 statements, ComputerWorld whittled its list down to 350 qualifying companies before concluding that Lasernet’s growth surpassed that of the competition.

Attributing the impressive growth of Lasernet in part to the firm’s new strategic direction of ‘think European’, Lasernet’s managing director, Anders Terp, remarked that the last four years has seen a transformation from 80% of sales coming from Denmark in 2012 to, 80% sales coming from outside of Denmark in 2016. Anders explains: “Thanks in part to a change in strategic focus, continued investment in nurturing our certified partner network, and growing our direct presence across Europe with the opening of a Benelux, UK and German office, we’ve managed to enter multiple new territories and now boast more than 2,500 customers in 100 different countries.

Hinting at a possible further expansion to the US, Anders continues: “We’ve timed it well when you think about the massive wave that has been Microsoft’s global ERP domination in recent years and the company’s cloud ambitions. Bringing a product to market that acts as an out of the box, easy to integrate, extension to  the most popular ERP systems in use, has meant that we’re doing something that no one else can. When it comes to the processing and dissemination of documents, we bridge the gap between what the user wants and what the ERP system can deliver. We do it simply and we do it cost effectively, usually at a fixed price. We fully intend to ride the Microsoft ERP wave and capitalise on our product dominance and cloud capabilities in both existing and new markets.”

Launching an output management connector for Microsoft Dynamics NAV earlier this month, Lasernet now integrates seamlessly with all major ERP systems, including Dynamics 365, SAP, and INFOR, as well as some of the less well known brands of ERP software.

Formpipe Lasernet’s commercial director, Mike Rogers, who heads up the UK office, believes the ComputerWorld award is recognition of the firm’s perfectionist mentality.

Mike explains: “We’ve been in this business for over 20 years now so there’s not much we don’t know or haven’t seen when it comes to input/output management and helping businesses obtain more control and efficiency over their documents. What’s helped our growth skyrocket in recent years though is our change in focus; we’re looking out at the world and making opportunities happen like never before – that’s evident in the shift in where sales are coming from now Vs where they were coming from four years’ ago.

“We’re able to stay one step ahead and be the first to market with powerful solutions. That’s been achieved by the reputation for perfection we’ve carved out with the likes of Microsoft, that actually invited us to become a member of the TAP programme earlier this year.

“Partners also play a huge role. We won’t let just anyone represent our product. Since launching Lasernet for NAV we’re looking to expand our partner network further but this takes time; perfection takes time but ultimately pays dividends: as demonstrated with the ComputerWorld growth award, which is a huge achievement for the entire team and our partners.”

Formpipe Lasernet Sets Sights on Stateside Expansion

Following a sustained period of growth in Scandinavia and Western Europe, Enterprise output management (EOM) software vendor Formpipe Lasernet has announced that it now has its sights set on substantial expansion in North America. The company has revealed plans to open its first US office in Chicago, IL, during the first quarter of 2017, citing a growing need for businesses to enhance the way they process and disseminate documents within ERP systems as the main driver behind its rapid global growth.

Keen to capitalise on the surge in demand brought about by the most recent release of Microsoft’s flagship ERP systems, Dynamics 365 and Navision, and aiming to better support partners and customers in what is likely to become its biggest market, Formpipe Lasernet has also announced that managing director, Anders Terp will head up the new US office himself. Anders explains how Lasernet “boots on the ground” will facilitate continued success and provide increased opportunity for an expansion in sales, consultancy and support:

“Four years’ ago, 80% of Lasernet sales originated from Denmark, where our firm’s headquarters is currently based. Thanks to a shift in strategic focus and continued investment in our product, we have seen those statistics change dramatically. For 2016, 80% of sales have originated from outside of Denmark.

“We’ve successfully grown our certified partner network, without having to compromise the high standards we set for resellers. With all this in place, and Lasernet’s deep and seamless integration with Microsoft’s continuing popular ERP offering as well as numerous other ERP applications, creating a base in the States seemed like the next piece in the puzzle of achieving genuine global market dominance.”

Are you still struggling to generate labels from AX?

Does this sample code look familiar? Would you prefer a graphical tool to design your labels using a simple drag and drop process?

Did you know Lasernet supports WHS label printing in AX2012 R3 (Warehouse III), AX7 and Dynamics 365 for Operations

We recently wrote a post on barcode generation and how simple this is and as an extension to the blog we are finding that many customers and partners are struggling with generating labels, especially inside AX and how to get the data to format the output and push this to the correct printer.

Let Lasernet solve this for you in a few simple steps with its built in connector for AX:

  • Generate a query – using the wizard in the Lasernet Connector containing the tables WHSLicensePlateLabel  and WHSDocumentRoutingLine,
  • Add a destination in the Lasernet Connector
  • Assign that destination in the Lasernet routing table
  • Format the label – any label and barcode can be produced with simple drag and drop tools
  • Print the label

All done with no coding and very simply created using point, click, drag and drop

Contact us today for a demo on this and many other features we offer for formatting and distributing the output from Dynamics AX.
